H1B stamping is the part of the process that nobody prepares for, because by the time you get here you have already cleared the lottery, the petition and often years of work in the US. You assume the visa foil is a formality. Then somebody in your team gets a white slip in Hyderabad, spends nine weeks in administrative processing, misses a project go-live and burns their entire leave. That is the scenario this post is about avoiding.

Your I-797 and Your Visa Foil Are Not the Same Thing

First, know what stamping is and is not. Your approved I-797 is your petition approval, and it is what allows your employer to employ you. The visa foil in your passport is only the travel document that lets you request entry. You can be validly approved and still be refused a stamp, and you can hold a valid stamp and still be questioned at the port of entry. These are three separate gates, which is why consulates feel free to scrutinise a petition USCIS already approved.

Which Consulate to Apply At, and Why Slot Shopping Invites a Question

Choosing your consulate matters more than people think. Indians can apply at Mumbai, New Delhi, Chennai, Hyderabad or Kolkata, and appointment availability varies considerably between them across the year. The practical advice we give is to pick the post where you have a genuine connection, meaning your home city or your employer's Indian office location, because unusual posting choices sometimes invite a question about why you travelled across the country to apply. If you are choosing purely on slot availability, at least have a sensible one-line reason ready.

Check the Dropbox Route Before You Book an Interview

Before you assume you need an interview, check the interview waiver route. If you are renewing an H1B and your previous H1B visa is within the permitted expiry window, and you meet the other conditions, you may be eligible to submit through the dropbox at a VFS centre without standing in front of an officer at all. Eligibility criteria have shifted over the years, so verify them on the official portal for your specific case rather than relying on what a colleague did two years ago. Dropbox cases can still be converted to an interview if the consulate wants to see you.

The Core Stamping File Every H1B Applicant Carries

Your document set for stamping has a core that never changes. Passport with at least six months validity plus all old passports, the DS-160 confirmation, the MRV fee receipt for the petition-based fee of two hundred and five dollars, the appointment letter, your original or copy of the I-797 approval notice, a copy of the full I-129 petition if your employer will share it, and your employer's support letter on letterhead. The support letter should state your role, your worksite, your salary and the duration.

Then the employment evidence, which is where cases are won or lost. Carry the Labor Condition Application, the certified LCA with the wage level, your three most recent US pay stubs if you have been working there, your W-2 forms for the years you worked, your most recent US tax return transcript, and a client letter or statement of work if you are placed at a client site. Third-party placement is the single biggest trigger for scrutiny, so if you work through a vendor chain, get the end client letter. Without it, your file looks like staffing rather than specialty employment.

Proving Specialty Occupation in Words You Can Actually Say

The specialty occupation question is what the officer is really probing. They want to see that your job requires at least a bachelor's degree in a specific field, and that your degree matches the job. Carry your degree certificate and transcripts, and if your degree is in a different field from your role, carry the evaluation or the experience documentation that bridges it. When the officer asks what you do, do not recite your job title and stop. Describe the work in plain terms, such as, I design and maintain the data pipelines that move claims data for a health insurance client, I write the transformation logic in Python and Spark and I own the schema design.

The Employer vs Client Question That Triggers Most 221(g)s

Expect these questions specifically. Who is your employer, who pays your salary, where is your worksite, who is your client, who supervises you day to day, what is your salary, what does your project do, how many people are on your team, and have you worked at other client locations. The answer that most often triggers a 221(g) is confusion between employer and client. If you are on Infosys payroll working at a bank in Charlotte, say Infosys employs and pays me, the bank is the client where I am deployed. Never say the bank is my employer.

What a 221(g) Slip Actually Means

Now the 221(g) itself. A white or yellow slip is not a refusal, it is a pending case. If it lists documents, you submit exactly those documents through the channel written on the slip, and nothing extra. If it says administrative processing with nothing requested, your case has gone for additional checks, and this is where Indian H1B holders in certain technical fields can wait several weeks to several months. Track your case status online using the case number on your slip, and do not keep emailing the consulate daily because it changes nothing.

Practical planning around a possible 221(g) is the actual insider advice here. Do not book a return flight to the US that assumes a five-day turnaround. Do not travel for stamping with two weeks of leave left and a critical release scheduled. Tell your manager before you travel that a delay is possible, so you are not explaining it under pressure later. If you have any factor that raises your risk, such as a third-party worksite, a technical field on the sensitive technology list, or a prior refusal, plan for at least a month of buffer.

The Stamping Mistakes We Clean Up Every Season

Common mistakes we clean up regularly. Travelling for stamping with pay stubs that show a gap in employment, which raises maintenance of status questions. Carrying an I-797 that expires before your intended return. Filling the DS-160 with a job description copied from the petition in language you cannot explain in your own words. Not carrying the LCA. Forgetting old passports that contain your previous US visas. And going for stamping while a change of employer petition is still pending, which creates a genuinely messy set of questions.

Stamping Your H4 Spouse and Children at the Same Time

A word for dependants. Your spouse on H4 and your children can be stamped alongside you, and their file needs your marriage certificate, your children's birth certificates, your I-797, your pay stubs and their own DS-160s. Apply together and interview together where possible, because separate applications on different dates create needless inconsistencies. If your H4 spouse holds an approved EAD, carry that approval too.

Check the Foil Before You Relax

Last point, and it is the one experienced H1B holders forget. Once your visa is issued, check the class of admission, the validity dates and the number of entries printed on the foil. H1B visas for Indians are typically issued with validity aligned to the petition end date, and if your petition has a short remaining period, your visa will be short too. That is normal, not an error, but knowing it in advance saves a lot of panic when the foil comes back.
