Japan is quietly one of the easier major visas for Indians to obtain and one of the easiest to get wrong on paperwork. The approval rate for well-prepared Indian tourist applications is high, the fee is modest, and there is no interview. But Japanese consulates are precise in a way that catches Indians off guard, and applications get returned at the counter for things that would be waved through elsewhere, like a form filled in blue ink or an itinerary that does not name a hotel for every single night.

The Japan eVisa Route Where You Never Surrender Your Passport

The first thing to know is that the sticker visa is no longer the only route. Japan introduced an electronic visa for eligible Indian tourists, and where you qualify, you apply online, pay online and receive a digital visa issuance notice that you carry on your phone and present at check-in and immigration. You do not surrender your passport at all. Eligibility conditions apply, including that you are travelling for short-term tourism and hold an ordinary passport, so verify your specific case on the official Japanese eVisa portal before choosing a route.

Which Consular Jurisdiction You Fall Under

Where the eVisa does not apply, or where your consulate directs you, you apply through an accredited route rather than walking into the embassy. In India, Japan has long processed tourist applications through designated travel agencies and visa application centres depending on the jurisdiction, and which one you use depends on which consular district your state falls under. Tokyo's consular map splits India between the Embassy in New Delhi and the Consulates General in Mumbai, Chennai, Kolkata and Bengaluru. Applying to the wrong jurisdiction is an instant return.

The Core Document Set Is Shorter Than You Expect

The core document set is short by international standards. Your passport with at least two blank pages, the completed visa application form, one recent photograph of 45x45mm with a plain white background, your flight reservation showing entry and exit, and your daily schedule of stay. Then the financial and employment set, which is your bank statements, your Income Tax Returns, and a letter from your employer. That is genuinely most of it.

The Daily Schedule of Stay That Gets Indian Applications Sent Back

The daily schedule of stay is where Japan is different and where most Indian applications get sent back. Japan wants a day-by-day itinerary on their prescribed format, listing every single date of your trip, the places you will visit that day, the name of your accommodation with its address and telephone number, and your contact in Japan if any. Not a summary. Every night must have a named hotel with a phone number. If you have three cities in nine nights, they want all nine lines filled.

Hotel Bookings Must Match That Schedule Line by Line

Hotel bookings must match that schedule exactly. If your itinerary says Kyoto on the fourteenth and your booking confirmation says Osaka, that is a discrepancy and it will be queried. Use bookings with free cancellation, keep the confirmation numbers visible, and make sure the guest name matches your passport name. Japanese consulates read these documents line by line, which is both the reason they are strict and the reason a clean file sails through.

What Japan Wants to See in Your Bank Statement and ITR

On bank statements, Japan expects a stamped and signed statement from your bank covering the last six months, showing your name and account number, with the branch seal. Net banking printouts without a stamp get rejected far more often here than for other countries. Add your ITR for the last two to three years, and your salary slips if salaried. There is no published minimum balance, but for a typical seven to ten day Japan trip you should be able to demonstrate funds comfortably covering roughly two to three lakh rupees per person, and more if you are visiting during cherry blossom season when accommodation costs jump.

Why Japan Cares About the Stamp on Your Leave Letter

Employment documents follow the usual pattern with one Japanese preference. The leave sanction letter should be on company letterhead, should name your designation and joining date, should state the exact leave dates, and should be signed with a stamp. Japanese officials are accustomed to stamped, sealed documents and an unstamped letter on plain paper looks informal to them even if it is genuine.

If Someone in Japan Is Inviting or Sponsoring You

If you are being invited or sponsored by somebody in Japan, the document set changes. You will need a letter of guarantee, an invitation letter, a copy of the inviter's residence card or passport, their certificate of residence known as the juminhyo, and their certificate of employment or tax certificate if they are covering your costs. This route is common for Indians visiting family or attending business meetings, and the Japanese side's paperwork must be originals, not scans.

Processing Time and Fees, and Why the Low Fee Misleads People

Processing is genuinely fast when the file is complete. Standard short-term tourist applications are commonly decided within about four to seven working days from acceptance, though peak periods and additional checks extend it. The visa fee for a single-entry short-term stay has been modest, in the range of a few hundred rupees plus the service charge, though you should confirm the current figure since Japan revises it. Do not confuse the low fee with a low bar.

How Previous Travel Helps, and Who Gets a Multiple Entry Visa

Travel history genuinely helps with Japan, more visibly than with some other countries. An Indian applicant who has previously visited Schengen, the UK, the US, Australia or Singapore and returned on time is looked at more comfortably, and applicants with a clean record of previous Japan visits may become eligible for multiple-entry visas which Japan does grant to Indians meeting certain criteria. If you intend to visit Japan repeatedly for business, building that record is worth doing deliberately.

The specific mistakes we see, and they are almost all avoidable. Photograph in the wrong size, because Japan wants 45x45mm and Indian studios default to 35x45mm. Form filled in blue ink when black is expected. Itinerary missing accommodation for one or two nights. Bank statement without a branch stamp. Flight reservation that is a hold which has already lapsed by the time it is submitted. Name spelling differences between the form, the booking and the passport.

One last thing worth saying to Indian travellers. Once you have the visa, note that your permitted stay on a short-term visa is typically fifteen or ninety days depending on what is granted, and Japan takes overstay extremely seriously with lifetime consequences for future entry. Immigration at Narita or Kansai will occasionally ask to see your return ticket and your hotel booking, so keep the same documents you submitted accessible on your phone when you land.
